How to Plan Group Pickups and Multiple Stops in Dubai

Collecting a group from different hotels or planning several stops in Dubai? A shared van journey works best when everyone follows one agreed pickup plan. This guide explains how to organise meeting points, stop order and return arrangements for a private group travelling with a driver.

Choose one person to coordinate pickups

Nominate a group contact who can collect the itinerary and communicate changes. Ask each household or team for its pickup address and number of passengers. Keep one agreed version of the plan so the driver does not receive conflicting instructions.

  • Record the hotel or building name and the exact entrance.
  • Include a map pin where several entrances have similar names.
  • Agree who will be reachable at each pickup point.
  • Tell the group when to be ready, using UAE local time.

Plan the stop order around your arrival time

Start with any fixed appointment: a meeting, attraction entry, event or airport departure. Share that required arrival time with the transport team, together with every pickup location. Ask the team to confirm a workable departure time and route.

Allow for boarding, loading bags and traffic when discussing the schedule. Avoid treating a map estimate as a guaranteed journey time. If passengers are staying far apart, ask whether a shared meeting point would simplify the trip.

Make each stop clear

Pickup and drop-off stops

Explain how many passengers join or leave at each address. Mention luggage that must be loaded or unloaded, and any assistance your group needs. Confirm a suitable meeting point with the team before sharing it with passengers.

Visits with waiting time

For a restaurant, meeting or sightseeing visit, state the expected arrival and departure times. Clarify whether you need the vehicle to wait or whether a separate return arrangement is required. Include every planned stop in the quotation request.

Example: two hotels and an event venue

Suppose your group is staying at two hotels and attending the same event. Send both hotel addresses, passenger counts at each hotel, the venue entrance and the required arrival time. For the return, specify whether everyone leaves together and whether both hotels remain the drop-off points.

This is a planning example, not a fixed route or travel-time promise. The team needs your actual locations and schedule to confirm the arrangement.

Agree how changes will be handled

If a passenger is late or an extra stop is requested, have the group contact speak with the transport team. Check whether the revised itinerary fits the booked hours and whether additional charges apply before proceeding. Share the updated plan with everyone travelling.

Send one complete itinerary for your quote

Include your date, passenger total, luggage details, pickup addresses, stops, required arrival times and final drop-off. State any return journey explicitly. For flight-related travel, add flight details and read our airport and day-trip booking checklist.

Compare current Hiace rates and inclusions, then send your itinerary through the enquiry form. Availability, route pricing and booking arrangements must be confirmed by the team.
