Dubai Airport Transfer Guide: Pickups, Luggage and Booking

A Dubai airport transfer is easier to organise when the driver and passengers have the same details: the airport, terminal, flight number, luggage and final destination. Whether you are arriving with family or arranging transport for a business group, confirming these details before travel helps avoid confusion at pickup.

Confirm the airport and terminal first

Dubai International (DXB) and Al Maktoum International (DWC) are different airports. Send the airport name and terminal exactly as shown on your booking, along with the flight number and travel date. Avoid using only “Dubai airport” in your pickup instructions.

For an arrival, share the scheduled landing time and agree a pickup arrangement that allows for immigration and baggage collection. Landing time is not the same as the time you will reach the meeting point. If your flight arrives around midnight, double-check the calendar date.

Choose a vehicle for people and bags

Count every passenger, including children, and list the number and approximate size of bags. Mention pushchairs, sports equipment or other bulky items. The available luggage space must be checked separately from the number of seats.

  • Smaller groups: the Kia Carnival with driver carries up to 6 passengers plus the driver. Confirm the luggage arrangement for your group.
  • Family and team travel: a 12-seater van provides up to 12 passenger seats plus the driver. A full passenger load does not automatically leave space for the same number of large suitcases.
  • Larger groups: compare minibuses and buses in our passenger transport fleet. Share the full passenger and luggage counts so the team can suggest an appropriate option.

Agree how you will meet the driver

Before travelling, confirm the meeting point, how driver contact details will be shared and which number to call if you cannot find each other. Ask whether the agreed service includes a named meeting arrangement or requires you to reach a designated pickup area.

Keep the organiser’s phone reachable after landing. If you are booking for relatives or colleagues, share the passenger contact number as well as your own. For groups, nominate one person to coordinate boarding and confirm that everyone and their bags are ready.

Check waiting time and flight-change arrangements

Ask how much waiting time is included, when that allowance starts and what additional waiting costs. Confirm what to do if your flight is delayed, diverted or rescheduled, and tell the team about changes as soon as you know them.

Do not assume unlimited waiting or automatic flight monitoring is included. Agree the arrangements for your booking in advance. Early-morning and late-night transport should be requested ahead of time and remains subject to availability.

Compare the complete transfer price

Request a quote for the exact vehicle, airport, terminal and destination. The service page lists one-way Dubai fares; journeys involving other emirates need a route-specific quotation. A one-way price does not cover an automatic return trip.

Confirm whether driver, fuel, Salik, parking and VAT are included. Ask about waiting time, additional stops and changes to the route. If you need to collect keys, stop at another hotel or drop passengers at several addresses, include those stops in the original enquiry.

Plan departures and return transfers separately

For a departure, provide the flight time, airport and terminal, then agree the pickup time using your airline’s check-in requirements and the expected journey. Allow for boarding and traffic rather than planning to reach the airport at the last possible moment.

For a return booking, send both flight dates and both pickup addresses. Keep the confirmation accessible and check any changes to your hotel or flight before the return date. A family arriving together but departing on different flights may need separate transfers.

Coordinate business and group arrivals

If guests are arriving on different flights, prepare a simple list with each flight number, arrival time, passenger count and destination. One large vehicle is not always the best choice when arrivals are spread over several hours.
